When you are managing an event, at what point do you start considering security? Probably not soon enough.

The best way to easily integrate security into your event, with the right systems and accreditation, is right at the beginning of the planning stages. That way you can consider all the best practices and they become an integral part of the event.

 

The other option is a last minute hurry to get systems in place or, worst case scenario, something actually going wrong.

 

There are plenty of reasons to involve security guidance early. A more robust system can be developed, but also one that blends into your event. Event staff will be familiar with the guidance and procedures and will have had plenty of time to train and practice with any equipment. You can have backup systems ready to go should a technical error strike.

 

Considering security can have an impact on other parts of the event that would cause a headache to change at the last minute. Do you have enough room for registration and check in?  Might you need an area for checking bags for contraband? How will you control access to staff-only or VIP areas? How will you know when you are nearing the capacity limit of the venue? These decisions from a security point of view might have a knock-on effect on the rest of your planning. Best to establish security-oriented thinking from the beginning.

 

Security and safety at events is becoming a bigger issue, and one that could affect attendance or your ability to attract certain speakers or guests. They will want to know there are sufficient precautions and procedures in place. A security breach or incident could start a legal or PR nightmare. There are also events aimed at a younger audience that will need child safeguarding incorporating and other legislation that must be adhered to, such as health and safety.

 

Rather than seeing these precautions as fraught with difficulty they can be easily addressed at every step of the planning process. When security is seen as an integral part of a smooth-running event, not a separate issue tacked onto the periphery, it is much easier to handle.
